Today, we’re going to wake up those leads. And we’re going to do it in a way that feels authentic, takes less than 15 minutes, and bypasses the emotional resistance completely.

The Reframe: Reconnection as Service
Before we get tactical, we need to shift how you view this interaction.
Re-engagement isn't about chasing a sale. It's an act of service.
We tend to think that a "no" or a "not right now" is permanent. But people’s circumstances, priorities, and pain levels change significantly over a few months.
Maybe the budget issue resolved itself. Maybe the problem you solve has become unbearable for them. The "not right now" in June might be an urgent "I needed this yesterday" in October, especially as the end of the year looms and they realize they still haven't solved their core problem.
If you genuinely believe in the transformation you provide, you are doing them a disservice by letting your discomfort with follow-up prevent them from getting the help they need.
But even with this reframe, the hardest part is still staring at the blank email draft. You get stuck in perfectionism. You worry about the tone.
This mental load is the real bottleneck. And this is exactly where AI changes everything.
AI as Your Authentic Follow-Up Assistant
Many heart-centered entrepreneurs resist using AI in their sales process because they fear it will make them sound robotic.
But we aren’t using AI to automate the relationship. We are using AI to overcome procrastination.
AI provides the necessary emotional distance. AI doesn’t feel the fear of rejection. It doesn’t worry about being "pushy." It can look at the facts of the previous conversation and draft a clear, compassionate message in minutes, getting you past the initial hurdle so you can get back into conversation.
However, the key to using AI authentically is providing it with context. If you give ChatGPT a generic prompt like, “Write me a follow-up email,” you will get a generic, slightly cringe-worthy email that you won't want to send.
Here is the 4-step strategy to revive your warm leads this week.
Step 1: Identify Your 3-5 "Warm Ghosts"
Do not pull up your entire CRM. That’s overwhelming, and overwhelm leads to inaction.
I want you to intentionally choose 3 to 5 people who you genuinely liked and truly believed you could help, but who stalled out earlier this year. Focus on the prospects where the connection felt real, but the timing was off.
Step 2: Gather Context (The Key to Authenticity)
This is the critical step that most people skip. The magic happens when you provide context.
For each of the prospects you identified, find the previous call transcript, email chain or your sales call notes. You need the specifics of what they were struggling with and what they desired. This context is what you will feed the AI.
(If you worry about privacy; you can anonymize the data by removing their name if you prefer, but the AI needs the emotional details.)
Step 3: Draft with AI (The Power Prompt)
Now, open your preferred AI tool (like ChatGPT, Gemini or Claude). You are going to use the following prompt, pasting in the context you gathered in Step 2.
This prompt is designed to analyze the conversation and generate options that sound human, empathetic, and focused on their needs, not yours.
The Power Prompt:
“Analyze the notes below from a prospect named [Name] regarding my [Offer Name].
They expressed interest but ultimately stalled because of [Reason, if known, e.g., timing/budget/fear]. It is now Q4. My goal is to send a short, authentic, low-pressure email to re-engage them.
Focus specifically on the core desires and pain points they expressed in the notes/emails/transcript provided. Draft 3 options for a re-engagement email. The tone should be warm, professional, service-oriented, and curious - not presumptive or pushy. Keep it brief.
#NOTES
[paste your email exchange OR call notes here] ”
In seconds, you will have three solid drafts. They won't be perfect, but they will be 80% there.
Step 4: Personalize and Send (The 15-Minute Rule)
Choose the best option from the AI’s output. Now, you must infuse your authentic voice. Add a personalized opening sentence. Tweak a phrase so it sounds exactly like you.
Then, send it.
I recommend a 15-minute rule for this entire process (Steps 1-4). Speed is essential here because speed bypasses the opportunity for you to overthink it and retreat back into that old pattern of resistance.
